What AI proposals look like in practice.

By default, this is the process in which all AI actions are proposed and approved. Only admins can disable approval settings for specific processes or tools.

A helping hand

Whenever Simply is asked to change ATS data, it will create a proposal that clearly highlights the old data vs the new data. In some cases it will also show relevant context about where the new information came from.

The proposal

Oftentimes approvals will appear directly in the active Simply Ask chat window, allowing for easy approval. Other times, like when working with the MCP, approvals will land in the user’s notification centre.

Mission complete

Only once the user approves the proposal will the information be changed. If the user rejects the proposal, or doesn’t respond to it within a certain adjustable timeframe, it will expire without changing anything.

The approval process is deeply ingrained in Simply.

Simply uses the approval process throughout the ATS, allowing you to build trust working with AI. Here are three more important places approvals are used:

CV parsing

Parsing a CV can produce a lot of new data. In some cases, a lot of data may already exist in a candidate profile. Instead of overwriting everything, Simply gives a clear overview of all the new data vs the old, and the user can pick and choose which data to keep or which to replace.

Conversational analysis

Another process that creates a lot of (potentially conflicting) data is the AI notetaker. A single candidate can have many interviews over the years, each time sharing new information. Once again Simply checks old data vs new data and lets you choose what to overwrite.

Email drafting

Simply has the capability to create and send emails to contacts in your ATS, triggered through workflows or agentically. Instead of Simply sending the email right away, it will create an email proposal for users to review before anything is sent.

Every approval is stored in the audit log.

Any AI event and the approval that came before it are stored in the admin’s audit log, allowing you to always review who did what.

Traceability is key

If anything ever goes wrong, your audit log will show a clear trail of which user was responsible and what exactly they did. This makes it easier to train users and correct errors.

What people ask about proposals.

Can I switch the approval step off?

Yes, you can. By default, every AI action must go through a proposal first. We encourage users to get used to Simply with proposals, as it is the safest way to get used to using AI in your business. Over time, as users get more comfortable and trust in Simply grows, admins can experiment with removing approvals from certain AI actions and allowing Simply to be more autonomous.

Don’t the GDPR and the EU AI Act require a human in the loop for every AI action?

No. The EU AI Act asks for human oversight of high-risk uses, such as ranking or assessing candidates, and the GDPR says a candidate can’t be rejected by a fully automated decision. Routine work like filling in fields or drafting an email doesn’t fall under either rule.

What if I approve something by mistake?

Every approval, its decision and the affected data are logged in the audit log. If you ever mistakenly approve a data change, you can easily find out what the data was before the change and revert it. Unfortunately, you can’t unapprove the sending of a message or email, but even in those cases you can sometimes take action to unsend an email (with email delay enabled) or edit/delete a message (in WhatsApp).
