AI meeting bots in recruitment: how they work (2026)
Joining bot or bot-less capture? How AI meeting bots work in recruitment, which tools use which model, and what it means for consent and phone.

AI notetakers for recruitment compared — 8 tools on pricing, channels and ATS integrations, plus what changes when the ATS records the conversation itself.
Competitor prices and features were verified on 1 May 2026 via the official vendor pricing pages. Simply’s own entry was rewritten on 4 August 2026, when Simply stopped being a notetaker and became an ATS. Vendors revise their offerings regularly — for the most current information, check the vendor site.
8 AI notetakers, 8 different claims about “ATS integrations” and “recruitment AI”. Which ones actually support phone calls, which only do video? Which work with your Dutch ATS (Mysolution, Tigris, Byner)? And what does it cost — annual, per user, including add-ons? This article puts Carv, Fathom, Fireflies, In2Dialog, Metaview, Otter, Read.ai and Simply side by side on the specs that matter for recruiters: channels, languages, ATS connections, pricing and compliance. No “we are the best” — Simply sits alphabetically in position 8 and is assessed under the same lens. Transparency: this article lives on the Simply blog; where competitors do things better, that is stated as well.
One thing has to be said before the table, because leaving it out would quietly rig the comparison. Seven of these eight are tools you add to the system of record you already run. Simply is no longer one of them: it is now an AI-native ATS with the recording built into it, so it is not a €29 add-on next to your ATS but a replacement for the ATS. That does not disqualify it from the list — it is exactly what a recruiter shopping for “an AI notetaker for interviews” ends up choosing between — but it does mean the price column is comparing two different kinds of purchase, and it is called out wherever that matters.
The eight vendors were selected based on their visibility in the NL/EU recruitment context: a mix of international market leaders (Otter, Fireflies, Read.ai, Fathom, Metaview, Carv) and regional recruitment players (In2Dialog, Simply). Our method:
Channel matrix we checked per vendor: Google Meet / Microsoft Teams / Zoom coverage and whether capture needs a bot in the call, desktop app, mobile app for in-person meetings, phone calls, audio/video file uploads.
Carv positions itself as an agentic recruiting platform for volume hiring. Their product line is built around autonomous agents that perform screening, scheduling, sourcing, candidate rediscovery, re-activation, routing, assessment and compliance tasks. The marketing tagline is “Build, deploy & manage recruitment agents at scale” — that is the scope: not a single meeting bot, but a full agent stack that manages the hiring process end-to-end.
Strong points. Carv explicitly targets volume hiring where the pain of manual work is greatest. The agent library covers much of the pre-screening and post-meeting work normally done by a recruiter. For recruitment organisations processing hundreds to thousands of candidates per month (RPO, top-tier staffing agencies, large corporate recruitment teams) the positioning fits.
Limitations. Carv does not publish specific channel support on their public pages. Whether the agent natively integrates with Zoom/Teams/Meet, whether there is a mobile app for in-person conversations, or whether phone is supported — none of these details are publicly documented. ATS integrations are only mentioned generically (“Enterprise-grade integrations connect Carv to your ATS and HR systems”), without a list of specific ATSs. Language support, including Dutch, is not specified.
Pricing.
Best for. Volume hiring teams looking for end-to-end agentic automation and willing to enter a sales process for pricing and specs. For solo recruiters or small recruitment teams that only want a notetaker, the scope is too broad and the commitment too high.
Fathom (formerly fathom.video) is a general AI notetaker focused mainly on productivity and sales meetings. The product joins your calls, transcribes, and delivers AI summaries plus action items in your inbox. A mobile app for recording in-person conversations was recently added — making it more usable for recruiters who also speak on-site.
Strong points. Strong free tier with unlimited recordings and AI summaries — one of the most generous free tiers in this list. Solid integration stack on the Business tier: HubSpot and Salesforce CRM sync, plus Slack, Notion and Asana. The mobile app for in-person meetings is a feature not all generalist tools offer.
Limitations. Fathom is not recruitment-specific. No ATS integrations on the public pages, no CV parsing, no recruitment-template summaries. No VOIP or phone support mentioned. Language support is not on the homepage or pricing page; whether Dutch is supported is not publicly confirmed.
Pricing.
Best for. Recruiters who only need meeting notes (online + in-person) without ATS connection or CV flow. For solo use or small teams that want to stay within the existing free offering — Fathom delivers relatively high value per euro versus general-purpose tools.
Fireflies is a general AI notetaker with a notably broad integration stack. The product is, in core functionality (transcription, summaries, action items), a general-purpose meeting tool, but thanks to integrations with ATS systems and VOIP providers it is more usable for recruitment than many fellow generalists.
Strong points. Broad integration set: ATS via BambooHR, Greenhouse and Lever; CRM via HubSpot, Salesforce, Redtail, Affinity, Wealthbox and Supersales; VOIP via OpenPhone, Zoom Phone, RingCentral and Aircall. For recruiters already in this stack, Fireflies plugs in without extra workflow disruption. Conversation intelligence, talk-time analytics and AI skills on the Business tier make it usable for team coaching.
Limitations. Fireflies is not recruitment-native: no recruitment-template summaries, no CV parsing, no house-style conversion. For Dutch recruiters: the pricing page mentions “100+ languages” for transcription, but their integrations page lists only English, Spanish, German, French and Portuguese (BR) as supported UI/output languages. Dutch AI summaries are therefore not explicitly confirmed on public pages — for recruiters who want certainty about Dutch output, this can be a risk.
Pricing.
Best for. International recruiters or recruitment teams operating in EN/ES/DE/FR who already use the listed ATS/VOIP/CRM stack. For recruitment teams expecting Dutch output, Fireflies falls short on language grounds.
In2Dialog is a Dutch recruitment tool focused specifically on processing job interviews. Their product detects real-time data, numbers and signals during the conversation and builds a structured candidate profile that lands directly in your ATS. Native Dutch in both production and support.
Strong points. Native Dutch interface and summaries. Strong set of NL-relevant ATS integrations: Salesforce, Bullhorn, Carerix, Ubeeo and OTYS. ATS connection where interview reports are generated during the conversation and linked to candidate records. Three tier choices (IN2EFFICIENCY / IN2DATA / IN2INTELLIGENCE) provide room to scale — the IN2DATA tier adds custom templates, custom ATS integration and unlimited conversations; IN2INTELLIGENCE adds analysis and a data API.
Limitations.
Pricing.
Best for. Dutch recruitment organisations that primarily work online and face-to-face and want a strongly focused candidate-profiling process. For teams with substantial phone volume, total cost of ownership tilts due to the add-on cost.
Metaview positions itself as an “Agentic Recruiting Platform” with separate products for AI Notetaker and AI Sourcing. The stack focuses on automating interview notes, candidate sourcing and reporting. Their ATS integration set is one of the broadest in this list (50+ languages, 62+ ATS integrations claimed).
Strong points. Broad international ATS stack: Ashby, Greenhouse, Lever, Gem, SmartRecruiters explicitly named, plus a generic “wide range of ATS platforms” claim. Compliance stack: SOC 2 Type II, GDPR, CCPA, AWS UK hosting (data within EU), 256-bit encryption and customisable data retention. Custom templates on the Pro tier for teams that want to model their own interview structure. AI Sourcing as a separate product for teams that also want to automate the pre-meeting side.
Limitations. Metaview’s homepage and pricing page do not specify whether there is support for mobile apps for in-person conversations or for phone calls — only video conferencing is generically mentioned. CV parsing is not mentioned as a feature. The ATS stack is US/internationally oriented (Ashby, Greenhouse, Lever) and contains no specifically Dutch ATSs such as Mysolution, Tigris or OTYS. 50+ languages claimed, but Dutch output quality is not explicitly specified.
Pricing — AI Notetaker:
AI Sourcing is a separate product, starting at ~€92/m/user.
Best for. International or US-oriented recruitment teams with an existing Ashby/Greenhouse/Lever stack that have heavy compliance requirements (SOC 2, GDPR with EU hosting). For NL-only teams with Mysolution or Tigris as their ATS, integration fit is weaker.
Otter is one of the oldest and best-known general AI notetakers. The core product is meeting transcription and summary, with a notable addition in a separate “Recruiting Agent” product that automates resume summaries and interview flow via Greenhouse sync.
Strong points. Affordable entry: $8.33/m annual (~€7.66) for 1,200 transcription minutes/month on the Pro tier. The separate Recruiting Agent product adds automatic resume summaries (no full CV parsing or house-style conversion), pre-interview agendas and post-interview summaries — a light recruitment workflow for teams that don’t want to jump straight into a full recruitment stack. Zoom, Teams, Google Meet and mobile apps (iOS/Android) supported.
Limitations. Dutch is not supported — Otter’s pricing page explicitly mentions “AI transcription in English, French, or Spanish”. For NL recruitment teams this alone is a blocker. The Recruiting Agent product is geared toward Greenhouse integration via Zapier (not native), and expansion to other ATSs is not explicitly mentioned. No VOIP or phone support. Compliance: HIPAA only on Enterprise.
Pricing.
Best for. EN/FR/ES recruitment teams that want a light, affordable recruitment flow around Greenhouse. For NL teams or teams that need multilingual support (incl. Dutch), Otter falls short.
Read.ai is a general AI notetaker with broad language support and a focus on meeting-quality coaching. Beyond transcription and summaries, the product also provides talk-time analytics, sentiment tracking and a meeting coach that gives feedback on conversation dynamics.
Strong points. Broad language support — 16+ languages listed, including Dutch. For NL recruitment teams that only want a notetaker without recruitment-specific workflow, this is one of the few international tools that generates Dutch output. Free tier (5 transcripts/m) makes testing low-friction. Premium integrations with Notion, Salesforce, HubSpot, Jira and Confluence.
Limitations. Read.ai is not recruitment-specific. No ATS integrations mentioned, no CV parsing, no recruitment-template summaries, no VOIP/phone support. The meeting-coach features are useful for recruiter development and training, but do not cover the candidate-data flow that recruitment teams need (data points to ATS, CV extraction, etc.).
Pricing.
Best for. NL recruitment teams or solo recruiters that only want a meeting notetaker with Dutch output, without recruitment-stack integration. For teams that want to write data to their ATS or automate CV flows, a recruitment-specific tool is needed.
Simply is the odd one out in this list, and that is worth stating before the specs rather than after. Simply is not a notetaker. It is an AI-native ATS and CRM — the system where the candidate, the vacancy, the pipeline and the placement live — with conversation capture built into it instead of connected to it. The other seven products in this comparison are things you add to your system of record. This one is the system of record, which changes what the price means and what you are actually deciding.
Strong points. Nothing joins the call. Online meetings are captured natively through Google and Microsoft, so there is no extra participant in the tile grid and no unexplained account in the invite — the one difference in this list a candidate actually notices. Phone calls run through the desktop app and in-person conversations through the mobile app, which covers the two channels where recruitment conversations mostly happen. Because the recording and the record are the same system, what was said comes back as proposed field changes on the candidate — notice period, salary expectation, availability — that you approve or reject; nothing is written to your data without a person. Every claim in a summary points back at the second in the audio where it was said. AI matching scores a candidate against a vacancy with the arithmetic visible — satisfied requirement weight over total weight, missing must-haves named rather than averaged away — and each score is labelled with whether a model or the deterministic rule produced it. Recorded conversations and the unified inbox (WhatsApp, LinkedIn, email, SMS) land in one context, so a question about what someone said in March is still answerable in June. ISO 27001 certified, with the platform and candidate data hosted in the Netherlands on infrastructure Simply runs; AI processing runs in European regions or on your own provider key, with the models themselves coming from OpenAI and Anthropic.
Limitations. There are more of these than for a notetaker, because a system of record is a bigger commitment than a browser extension.
Pricing.
Best for. Agencies that are willing to change their system of record, not just their notetaking. If recording interviews is the only thing you want to fix, this is the most expensive way to fix it and one of the other seven will do. If what you want is one system instead of an ATS plus a notetaker plus a parsing tool plus a reporting layer, the comparison stops being about price per seat and starts being about how many systems you are paying to keep in sync.
Otter Pro · Fireflies Pro · Read.ai Pro · Fathom Team. No recruitment-specific workflow.
Legend:
In2Dialog IN2EFFICIENCY · In2Dialog IN2DATA · Metaview Pro · Carv · Simply Professional. The first four are recruitment notetakers that write into the ATS you run. Simply Professional is in a different category and is marked as such in every row where it matters.
Legend:
ATS integrations per vendor:
The choice begins with what your workflow actually requires. Three paths run logically apart, and the third one is new.
Path 1 — You only need a general notetaker (no recruitment workflow).
If you primarily want generic meeting notes and mostly do online meetings (no ATS connection, CV parsing or recruitment data extraction needed), the general tools are cheaper. All of them support Zoom/Teams/Meet:
For recruiters who want certainty about Dutch output, Read.ai is the most explicit option.
Path 2 — You do recruitment, you are keeping your ATS, and you want the notes to land in it. As soon as you need recruitment-specific features (ATS integration, intake templates, structured candidate profiles), you move into the recruitment notetaker category. There the choice depends on three questions:
Path 3 — The notetaker is a symptom and the ATS is the problem. Worth checking honestly, because a notetaker that pushes fields into a system that was never built to hold them solves the typing and not the record. If you are already paying for an ATS, plus a notetaker, plus a CV-formatting tool, plus something for reporting, and your data is still spread over four of them, then the cheaper monthly line is not the cheaper answer. That is where Simply Professional (€99) belongs in this comparison — not as a €99 notetaker, but as one system replacing several, with a four-week one-way migration and no route back to the old ATS. It is the bigger decision on this page and the wrong one to make casually.
Honest pricing positioning: Simply is not the cheapest on this page and is no longer trying to be. Otter and Fireflies are cheaper for general notes; In2Dialog is cheaper for recruitment notes and is Dutch on both the conversation and the interface. Simply is more expensive than all of them because it is a different purchase: the ATS, the recording, the parsing and the reporting in one licence, with the AI billed by your own provider instead of resold as credits. If you are keeping your current system of record, that price comparison is not one Simply wins — and you should not let anyone on this blog tell you otherwise.
A frequently overlooked detail in comparisons: how is the cost model built up? The monthly figure is rarely the whole number, and the shape of what sits around it differs per vendor.
Two different questions, then. For a notetaker, the cost question is which add-ons are recurring. For a system of record, it is what you stop paying for once it is in place — and whether the four weeks of your own people’s time is a price you are willing to pay at all. If it is not, the honest answer is on path 2, and it is not Simply.
Competitor prices verified as of 01-05-2026; Simply’s own pricing and product description updated 04-08-2026. Annual billing assumed for consistent comparison. USD→EUR conversion at exchange rate of publication date (~0.92). Vendors revise pricing regularly — check vendor sites for current information.

LinkedInArticles by Remo VloetTwo categories, two answers: - **Generic meeting notetakers** (no recruitment workflow): Otter Pro (~€7.66/m) is the cheapest, followed by Fireflies (€9.20). For Dutch output neither is suitable — look at Read.ai (€13.80, Dutch in their 16+ language list) or Fathom (€13.80, language not publicly confirmed). - **Recruitment-specific notetakers** (ATS connection, recruitment templates): In2Dialog IN2EFFICIENCY (€29.50/m) is the cheapest entry point, ahead of Metaview Pro (~€46) and Carv (€60). Simply is deliberately absent from both answers. At €99 per user per month it is not a notetaker subscription but an ATS licence, and comparing it to a €29 add-on only makes sense if you also count what you currently pay for the system it would replace.
In2Dialog is the unambiguous answer: Dutch in the interface, the transcription and the summaries, and Dutch in support. Read.ai mentions Dutch explicitly in their 16+ language list. Metaview claims 50+ languages but Dutch quality is not publicly confirmed. Fireflies claims 100+ languages for transcription, but UI and summary output are limited to EN/ES/DE/FR/PT. Not supported: Otter (pricing page explicitly mentions only EN/FR/ES). Not specified: Fathom, and — despite the enterprise positioning — Carv, whose public pages say nothing about language at all. Simply is built for the Dutch market but splits into two answers, and the distinction surfaces in week two if nobody makes it in week one. Dutch CVs parse fine; parsing is language-agnostic and Dutch CVs were the first case it was built against. Documents and CVs generate in Dutch or English, chosen per document. The application interface, however, is English-only and does not translate per user. If Dutch-language output on a Dutch conversation is a hard requirement, ask to see one in the demo rather than reading a language count off a pricing page — for every vendor on this list, not just this one.
Phone is where these tools differ most, and it is the channel recruitment actually runs on. - **Simply**: phone calls are recorded through the desktop app and in-person conversations through the mobile app, both landing on the candidate record in the same way an online meeting does. - **In2Dialog**: phone is a paid monthly add-on ("Integrated Telephony — price on request") on top of the €29.50 tier, so it is a recurring cost rather than a one-off. - **Fireflies**: covers phone through integrations with OpenPhone, Zoom Phone, RingCentral or Aircall, which means a separate VOIP subscription. - **Carv** mentions enterprise-grade telephony without public pricing. **Otter, Read.ai, Metaview and Fathom** do not mention phone support on their public pages. If a meaningful share of your intakes happen by phone, this single row eliminates half the list.
For the NL market: In2Dialog (Salesforce, Bullhorn, Carerix, Ubeeo, OTYS). For the US/international market: Metaview (Ashby, Greenhouse, Lever, Gem, SmartRecruiters, 62+ in total) and Fireflies (BambooHR, Greenhouse, Lever). Carv claims "Enterprise-grade integrations" without naming specific ATSs. Simply is not in this race and it is fair to say why: it does not connect to an ATS because it is one. There is no write-back or two-way sync with Bullhorn, Carerix, Mysolution or anything else in that category — coming from one of those is a one-way migration instead. If keeping your current ATS is a hard requirement, that rules Simply out and one of the other seven is your answer.
No. Simply parses CVs and converts them to your house style as part of the platform, because a CV in an ATS is a record rather than an attachment. The other seven vendors (Carv, Fathom, Fireflies, In2Dialog, Metaview, Otter, Read.ai) do not mention CV parsing or house-style conversion on their public pages. Otter does, via the separate Recruiting Agent product, offer "automatic resume summaries", but that is generating a summary of a CV — not structured parsing or conversion to house style.
Carv mentions EU AI Act compliance explicitly. Metaview has a heavy compliance stack (SOC 2 Type II + GDPR + CCPA + AWS UK hosting) but does not mention the AI Act explicitly. The remaining generic vendors (Fathom, Fireflies, In2Dialog, Otter, Read.ai) do not mention it on their public pages. Simply publishes the mechanics rather than a badge: every match score carries its reasons and its gaps, every AI output states whether a model or a fixed rule produced it, every AI write is a proposal a human approves, and every action lands in an append-only audit log. For recruitment use that falls under Annex III of the EU AI Act, that is what the obligations actually ask for — a compliance claim on a pricing page is not evidence of any of it. ## Final word None of these eight tools is "the best" in a vacuum — the right choice depends on your workflow, your conversation mix (online/in-person/phone), your language requirements and, above all, on whether you are shopping for a tool or for a system. Seven of the eight are things you add to the ATS you already run. The eighth is the ATS. That is not a marketing distinction; it decides which column of this comparison you should even be reading.
