A maritime client had CVs in dozens of formats and languages. Simply built a custom AI solution for extraction and formatting. Here's the story.
Recruiters in specialized fields like the maritime industry face challenges that standard recruitment software simply cannot handle. In the maritime world, normal CVs are rare. Instead, recruiters handle documents filled with specific course codes (like STCW certificates), expiration dates for sailing qualifications, medical fitness certificates, and complex formatting rules that can vary by flag state and shipping company.
One of our clients faced this daily. Their recruiters spent hours per candidate manually verifying and reformatting CVs, often from different languages. In maritime recruitment, it is not just about experience and skills but also about compliance: expired certificates can mean a candidate simply cannot board a vessel. An error in verification can delay an entire ship, with costs that quickly run into tens of thousands of euros.
The complexity increases further because maritime professionals often work under different flag states, each with their own certification requirements. A first officer with Dutch sailing qualifications may need additional certificates for a vessel under Panamanian flag. Tracking all these variations is an administrative nightmare when done manually.
The client had tried various recruitment software solutions, from large ATS platforms to specialized maritime tools. None could handle their specific needs. Most systems are designed for office personnel: they recognize job titles, work experience, and education, but have no idea what to do with a GMDSS certificate or an expiration date matrix for sailing qualifications.
The frustration was real. Recruiters felt they would never be rid of the manual work, regardless of which technology they tried. Every previous attempt had resulted in a system that created more work than it solved, because the extracted data constantly needed manual correction.

The AI needed to understand that an ‘STCW Basic Safety’ certificate is a different category than a ‘Medical Fitness Certificate’, and that each has its own expiration timeline.
What made the approach special was the validation system that Simply uses. Every extracted value receives a confidence score: green (high confidence) or orange (human verification recommended). For maritime documents, where an error in a certificate number can have direct consequences, this gave recruiters the confidence to use the system without giving up their thoroughness.
Within two weeks, the client had a fully automated process. CVs that previously took hours to process manually were now handled in minutes. The CV formatting ensured that every document was automatically converted to the agency’s house style, complete with the proper layout for certificates, sailing qualifications, and work experience.
The system automatically flagged expired certificates and placed warnings on certificates expiring within 90 days. This gave recruiters immediate insight into which candidates had compliance issues, without having to manually review each document. Where previously a recruiter could spend an entire afternoon processing three maritime CVs, the same recruiter could now process ten candidates in the same time.
Thanks to Simply’s transparency, every extracted data point could be traced back to the source document. If a recruiter doubted a certificate number or expiration date, they could review the original document with a single click. This built trust in the automated process and made the transition from manual to automated work much smoother.
After implementation, the daily work routine of the recruiters changed significantly. Instead of starting with a stack of unprocessed CVs, they could begin their morning with an overview of already validated candidate profiles. The time freed up was spent on what really matters in recruitment: speaking with candidates, building relationships with shipping companies, and matching the right professional with the right vessel.
The insights that Simply generates from processed documents also helped identify patterns. Which certificates were most often expired? Which trainings were most requested by shipping companies? This information helped the agency proactively advise candidates on which certificates to renew.
